Position Overview:
Mattern is seeking a highly motivated Consultant to support our law firm clients by analyzing labor, workflows, technology, and vendor contracts related to administrative and support services. The Consultant will evaluate these areas through detailed analysis and experience to develop recommendations to enhance service delivery and reduce costs.
Key Responsibilities
The Consultant will support law firm clients by managing all phases of project delivery from initial assessment through implementation. Core responsibilities include:
· Leading projects by establishing strategies based on clients’ business goals and requirements
· Managing timelines, meeting deadlines, and ensuring overall accountability for the project
· Conducting on-site evaluations and focus group meetings to gather qualitative and quantitative information
· Conducting assessments of administrative and support functions, including:
– Office services, facilities, reception, hospitality
– Records management/information governance (IG)
– Document production and processing (word processing)
– Billing, AP, AR, legal administrative support
– Office supplies management and procurement
– Multifunction device (MFD), printer, and scanner technology
· Analyzing labor, staffing models, productivity, contracts, and associated costs
· Benchmarking client performance and cost structures against Mattern’s proprietary database
· Identifying opportunities to automate manual workflows, improve transaction efficiency, and reduce physical files
· Preparing and delivering comprehensive written consultation reports and presenting via Zoom/Teams or in person
· Designing and managing the entire RFP process including:
– Developing RFP content and evaluation tools
– Analyzing vendor responses and negotiating contract terms
– Supporting the implementation(s) of selected service(s)
· Ensuring all recommendations are implemented timely and appropriately
Qualifications
Candidate must:
· Engage with clients and service providers in a professional manner at all organizational levels, including support staff, executives, and managing partners
· Demonstrate project ownership by setting schedules, meeting milestones, and adhering to internal guidelines
· Travel and work nationally as required by assigned projects
· Possess intermediate or higher level skills in Microsoft Office (Word, Excel, PowerPoint)
· Demonstrate excellent written and verbal communication with experience producing polished reports and presenting these via Zoom or Teams
– Understand the importance of maintaining a professional appearance in video calls with appropriate webcam set up and lighting
· Possess the ability to troubleshoot minor technical equipment and/or software issues
Preferred Qualifications:
· Direct leadership experience within a law firm or with an outsourcing provider that serves law firms, such as office services, facilities, reception, information governance/records management, eDiscovery/litigation support, document processing/word processing, graphics design, billing support, conflict checks, etc.
· Bachelor’s degree in a business-related field (post-graduate degree preferred, e.g., MA, MS, MBA, JD)
· CRM (Certified Records Management), Information Governance Professional (IGP), Certified Information Governance Officer (CIGO), Certified Information Privacy Professional (CIPP), or related certification(s)
· Project Management experience, PMP or equivalent certification a plus

· Aptitude to analyze large amounts of data, interpret what information the data offers, draw data-driven conclusions, and develop clear strategies supported by this information
· Advanced user of Microsoft Office (Excel, Word, PowerPoint), capable of complex data analysis and formatting
· Polished professional communication skills (emails, formal consultation reports, Zoom/Teams presentations, etc.)
· Leadership or solutions engineering experience in any one of the following law firm support areas: office services (reprographics, mailroom, facilities), eDiscovery/litigation support, IG/records management, hospitality/catering, reception, word processing/document processing, billing services
· Experience working within a law firm or supporting legal clients
· Records/IG certification or willing to become certified
