The ideal candidate will have three or more years of relevant experience coupled with strong writing and interpersonal skills.
The Legal Assistant provides comprehensive administrative and clerical support to attorneys and legal staff. This role is critical in ensuring the smooth operation of the legal department by assisting with case preparation, client communication, document management, and other tasks essential to the legal process. The Legal Assistant will help prepare legal documents, organize files, conduct research, and manage client interactions, all while maintaining confidentiality and adhering to legal regulations and standards.
QualificationsKey Responsibilities:
Assist attorneys and paralegals in preparing and drafting legal documents, including contracts, pleadings, correspondence, and discovery materials.
Conduct legal research on case law, statutes, and regulations using various online databases, libraries, and legal publications.
Organize and index legal documents for easy retrieval.
Prepare exhibits, affidavits, and other supporting documentation for trial preparation.
Draft and proofread legal documents, including correspondence, pleadings, motions, briefs, and contracts.
Assist attorneys with managing case files, deadlines, and client information.
Track case progress and ensure compliance with court rules and deadlines.
Coordinate and maintain client calendars for meetings, court appearances, and deadlines.
File legal documents with courts, regulatory agencies, and other entities.
Prepare filings for submission to local, state, and federal courts, ensuring accuracy and adherence to filing procedures.
Maintain and organize both physical and electronic filing systems for legal documents and case files.
Provide general administrative support, including answering phones, scheduling appointments, and managing correspondence.
Ensure the confidentiality of all sensitive legal and client information.
Adhere to ethical guidelines and legal standards in all aspects of the job.
Assist in ensuring compliance with applicable laws and regulations governing legal practices.
Education:
Associate’s degree or completion of a paralegal certificate program preferred.
Bachelor's degree may be preferred in some cases.
Experience:
Previous experience in a legal office or law firm environment preferred, particularly in administrative or legal assistant roles.
Knowledge of legal terminology, court procedures, and legal documentation.
Familiarity with legal research tools and case management software (e.g., I-Manage, Westlaw, Alacourt, or similar).
Skills and Abilities:
Strong written and verbal communication skills.
Excellent organizational and time management skills, with attention to detail.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.
Strong interpersonal skills and the ability to interact professionally with clients, colleagues, and legal professionals.
Ability to handle sensitive and confidential information with discretion.
Physical Demands:
Ability to sit for extended periods and use a computer.
Some lifting of boxes or files (up to 25 lbs) may be required.
