Position Overview:
The Transactional Legal Assistant provides administrative and legal support to Transactional Attorneys and Paralegals. This role is essential to ensuring smooth, efficient operations across corporate, real estate, and other transactional matters. The ideal candidate is detail‑oriented, organized, proactive, and able to manage multiple priorities in a fast‑paced legal environment.

Duties/Responsibilities:
Document preparation:
- Prepare, revise, and format legal documents with accuracy and consistency, ensuring adherence to RLF style guidelines.
- Assist with transactional matters, including mergers and acquisitions, corporate formations, real estate transactions, and any other related matters
- Gather, organize, and maintain relevant client documents.
File Management:
- Organize and maintain electronic files, ensuring they are accurately labeled, indexed, and easily accessible.
- Maintain orderly documentation throughout the lifecycle of each matter.
Client Communication
- Communicate professionally with clients in person, via email, and by phone to collect information and provide updates as directed by attorneys or paralegals.
- Maintain confidentiality and professionalism in all interactions with clients, opposing counsel, and other parties.
Calendar Management
- Assist with managing attorney calendars, scheduling meetings, deadlines, and other events.
- Provide reminders and support time management to ensure timely completion of tasks.
Billing Assistance
- Collaborate with the billing department to ensure accurate and timely invoicing of all expenses and billable work.
Administrative Support
- Provide general administrative assistance, including organizing meetings, preparing materials, and supporting attorneys with daily tasks.
- Assist with other administrative responsibilities as needed to support the transactional team.
Front Desk and Telephones
- Manage front desk with calm, confidence, and efficiency.
- Answer all calls promptly and professionally.
- Greet callers and visitors with a pleasant, helpful tone and direct them appropriately.
- Summarize and relay information from callers and visitors to the appropriate individuals.
Team Collaboration
- Work closely with paralegals, attorneys, and other professionals to support the overall efficiency of RLF.
- Contribute to a positive, professional, and collaborative team.
Professional Development
- Stay informed on legal trends, changes in law, and best practices related to transactional work.
- Participate in training programs or seminars to enhance knowledge and skills.
