Bravera is hiring for a Legal Assistant / Executive Assistant in Bismarck, ND. This position will have considerable responsibilities assisting the company’s Chief HR, Risk and Legal Officers. The position will be responsible for communication for various HR, legal and risk processes and procedures, as well as Bravera’s purpose, vision and values, in order to promote our culture. The successful applicant must have strong communication abilities and have a detail-oriented skillset.
Primary Duties and Responsibilities:
Legal Executive Assistant tasks:
- Prepare agendas and meeting packets, send out meeting invites, record meeting minutes, and track tasks on a quarterly/annual basis for:
- Nominating & Organization Continuity Committee
- Coordinate internal litigation management and discovery efforts with IT and other departments as directed by in-house legal counsel
- Assist consumer collections department with tracking and managing collections matters referred to outside counsel
- Assist bank lending officers with drafting and sending legal demand and/or collection letters re: default at the direction of in-house legal counsel
- Coordinate travel and prepare expense reports for senior management as needed
HR Executive Assistant tasks:
- Prepare agendas and meeting packets, send out meeting invites, record meeting minutes, and track tasks on a quarterly/annual basis for Executive Review & Compensation Committee or others designated committees.
- Work with company communications, manage designated sections of the company intranet.
- Assist Culture Committee and HR Team with administrative tasks associated with culture initiatives such as mentoring, supervisor coaching, intern program, culture coach, book club, Bravera 101, all company event, supervisor event, High Five Awards, Culture Ambassador Award, service awards, incentive compensation announcements, etc.
- Compile and report HR budget and expenditures monthly or quarterly, as needed. Assist with quarterly and annual HR reports by gathering and verifying reports for turnover, hiring, HR budget info, etc.
- Schedule recurring meetings of the HR Team, HR one-on-ones, events, etc. Track minutes, as needed.
- Assist HR with disaster recovery and business continuity planning, FDICIA tracking, and various audit reports and requests.
Risk/Compliance Executive Assistant tasks:
- Prepare agendas and meeting packets, send out meeting invites, record meeting minutes, and track tasks on a quarterly/annual basis for:
- Enterprise Risk Management Committee
- Audit & Risk Committee
- Compliance/BSA Committee
- Maintain Policy Inventory and N drive policy folder
- Coordinate travel, CPE training, and prepare expense reports as needed
- Assist communication and tracking of request items for Regulatory Examinations (FDIC, DFI, FRB, FHLB, etc.) and external financial statement audit.
- Assist coordination and communication to surveys on an annual/semi-annual basis for:
- External Audit Evaluation Survey
- Committee Self-Assessment Survey
- Gather documentation for CRA reporting (i.e. Small Business/Small Farm, Community Development).
- Coordinate and communicate risk assessments for information gathering and submit data to managers.
BHC Executive Assistant tasks:
- Serve as back up for general corporate governance administration and meeting minute taking
- Assist with scheduling BHC Bismarck meetings and details; prep locations, materials, meals and beverage, set up, travel and venue reservations
- Assist with BHC administrative tasks as needed including projects, meetings, mailings, correspondence, mail distribution, maintain and organize digital files/documents, and prepare documents, correspondence, and reports
Qualifications
- High school diploma or equivalent
- Associate degree in business or related filed or other secondary education preferred.
- Requires above-average computer skills in Microsoft Word, Excel, Access, Power Point, Publisher, and Outlook. Must have exceptional telephone etiquette, good organizational skills, and should be thorough, patient, detail oriented and have a desire to provide top-notch customer service to all internal and external customers.
