Role Overview
The Legal Secretary I provides core administrative and secretarial support to in-house counsel, paralegals, and the broader administrative, legal, and compliance teams. Under direct supervision, this role maintains organized file structures, assists with document preparation, manages office supplies, and ensures accurate invoice processing. The position requires strict confidentiality, strong foundational clerical skills, and the ability to apply company policies to daily tasks.
Essential Functions
Perform secretarial duties under direct supervision to support the company's attorneys, paralegals, and legal teams.
Maintain legal records, corporate files, and centralized document management systems for in-house counsel and leadership.
Prepare standard legal papers, briefs, and routine borrower or business correspondence.
Schedule meetings, coordinate legal team calendars, and arrange travel.
Monitor and maintain legal office supply inventory by checking stock levels and placing orders.
Prepare legal vendor invoices, track payments, and route records to accounting.
Safeguard client, borrower, and attorney information to keep all matters strictly confidential.
Support routine administrative functions across General Counsel, Licensing, Facilities, and customer service areas.
Handle basic issues and problems, referring more complex operational or legal matters to higher-level staff.
Help organize written and electronic company policies to support consistency and easy access.
Perform basic legal research, administrative errands, and document collection tasks as directed by legal counsel.
Provide coverage and back-up support for our front lobby operations by greeting guests, issuing visitor badges, escorting visitors, inventory, supply ordering, breakroom cleaning and handling incoming phone inquiries.
QualificationsKnowledge Skills and Abilities
Beginning knowledge of subject matter, clerical processes, project scheduling, and file management.
Basic understanding of Microsoft Office software and internet-based research tools.
Strong organizational skills and attention to detail.
Familiarity with basic mortgage, banking, real estate, or servicing terminology is preferred.
Ability to handle client and legal records with strict confidentiality and discretion.

Experience & Education
High School Diploma or equivalent required
0-2 years of experience in a legal assistant, legal clerk, secretarial, or administrative support role
Experience in a legal environment, mortgage lender, or financial institution is preferred.
Physical Requirements
Prolonged periods sitting or standing at a desk and working on a computer.
Occasional movement inside the office to access office machinery or filing cabinets.
Ability to lift up to 10 pounds occasionally.
