Job Summary
The Legal Assistant supports the Estate Planning Review Department by coordinating workflow, organizing and reviewing estate planning documents, and preparing summaries for attorney and reviewer evaluation. This position serves as a key point of contact for internal client teams regarding Estate Planning Review requests and maintains departmental resources and procedures.
Essential Responsibilities
- Maintain and organize the department's Help Desk triage spreadsheet and related tracking tools, and review submitted requests for completeness and accuracy.
- Monitor request deadlines and follow-up activity to ensure requests are routed appropriately and remain on schedule.
- Review and organize wills, trusts, and other estate planning documents, extracting and summarizing information from complex legal and financial materials.
- Track key provisions, dates, and document requirements, and identify inconsistencies, missing information, or items requiring further review.
- Draft and proofread estate plan summaries, ensuring accuracy, completeness, and proper formatting.
- Prepare materials for attorney and reviewer evaluation.
- Serve as a primary point of contact for internal client teams on Estate Planning Review requests, including intake activities and timely follow-up and status updates.
- Assist in training internal team members on departmental submission procedures and requirements.
- Coordinate and prepare materials for department meetings.
- Handle incoming mail and department correspondence, and maintain the department's form and template library.
- Support general departmental administrative activities as needed.
Qualifications
- Bachelor's degree preferred, but not required
- Minimum 2 years of work experience; prior legal, administrative, client service, or document-review experience preferred
- Demonstrated experience reading, interpreting, and cross-referencing complex legal or financial documents, and proofreading to identify inconsistencies across documents
- Proficient in Microsoft Office applications
- Must be authorized to work in the United States
