Job Summary (Legal Assistant II – AZDES Office of Inspector General, Phoenix, AZ)
- Provides administrative legal support to Administrative Law Judges (ALJs) within the Appellate Services Administration (ASA) for the Department of Economic Security (DES).
- Reviews and verifies incoming appeals for approximately 45 DES programs, including benefit eligibility, overpayments, licensing, certification, and claimant fraud.
- Prepares and organizes hearing exhibits and packets, ensuring accurate documentation for use in scheduled hearings.
- Analyzes legal issues, jurisdiction, and timeliness of appeals by reviewing case documentation, images, and paper files.
- Schedules hearings for ALJs and processes party requests such as postponements and withdrawals.
- Maintains confidential case files (both paper and electronic) and ensures compliance with Federal and State noticing deadlines.
- Assists ALJs with case research and interprets administrative procedures and regulatory guidelines.
- Enters and manages case notes and documentation in multiple case management systems and legal repositories.
- Uploads legal decisions and dispositions for departmental action and escalates cases to the Board of Appeals as necessary.
- Provides customer service and support to internal and external stakeholders, including handling elevated docket calls.
- Adapts to evolving procedures, ensures accuracy and speed in repetitive detail-oriented work, and upholds confidentiality standards.
- Utilizes computer applications such as Google Apps (Gmail, Docs, Sheets), Adobe Acrobat, and various case management systems.
- Works primarily remotely but is required to be onsite four times per month.
- Performs duties with minimal supervision, effectively multitasking and prioritizing in a fast-paced legal environment.
