Reports To: Law Firm Manager
We are seeking a highly organized, detail-oriented, and proactive Litigation Legal Assistant to join our dynamic legal team. In this role, you will provide comprehensive administrative and case management support to our litigation attorneys. The ideal candidate thrives in a fast-paced environment, possesses a deep understanding of civil litigation procedures, and is adept at managing competing deadlines with a high degree of accuracy.
Case Management & Document Preparation
Draft, format, and proofread legal documents, including pleadings, motions, subpoenas, affidavits, and standard correspondence.
Prepare, organize, and maintain digital and physical case files from inception through trial and appeal.
Assist in the discovery process, including organizing document productions, preparing discovery binders, and indexing exhibits.
Prepare trial and arbitration materials, including trial binders, exhibit lists, and witness files.
Court Filings & Procedures
File documents with state, provincial, and federal courts, demonstrating a strong command of local electronic filing (e-filing) systems.
Ensure all filings comply with local court rules, standing orders, and procedural deadlines.
Calculate and calendar statutory and court-mandated deadlines for litigation matters.
Administrative & Client Support
Manage complex calendars for multiple attorneys, including scheduling depositions, hearings, mediations, and client meetings.
Serve as a primary point of contact for clients, opposing counsel, court clerks, and third-party vendors (e.g., court reporters, process servers).
Process attorney time entries, manage expense reports, and assist with monthly client billing cycles.
Sort and distribute incoming mail, handle telephone inquiries, and perform general administrative duties as required.
Experience: Minimum of [2–5] years of experience working as a Legal Assistant or Paralegal specifically in civil litigation.
Education: Bachelor’s degree, Paralegal Certificate, or equivalent combination of education and experience.
Technical Proficiency: * Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Adobe Acrobat).
Experience with legal practice management software (e.g., Clio, MyCase, Relativity, or similar).
Familiarity with state/provincial and federal e-filing systems.
