The Litigation Practice Group has an excellent opportunity for a Legal Secretary in the Orlando, Florida office. This is a non-exempt position that reports to the Human Resources Manager and collaborates with attorneys and staff on the Commercial Litigation team. This position requires an in-office presence five (5) days per week. The ideal candidate will possess exceptional organizational, planning, and interpersonal skills, along with the ability to thrive in a fast-paced environment with evolving priorities. This role requires a high level of attention to detail, creativity, initiative, and sound judgment. The position also supports partners involved in firm management and other high-level responsibilities; therefore, the ability to handle highly sensitive and confidential information is essential.
Responsibilities:
- Delivers excellent work and superior service to the Firm’s clients; contributes to the Firm’s reputation for excellence by providing highly efficient and effective support to the attorneys.
- Communicates with attorneys and assists in balancing the team’s workload to ensure completion of projects within established time frames and quality standards; seeks guidance from the Human Resources Manager as necessary.
- Proofreads, prepares, and processes legal documents including, but not limited to, subpoenas, complaints, motions and other legal documents and pleadings under the supervision and direction of the attorneys.
- Schedules and coordinates hearings with federal and state courts.
- Schedules and coordinates depositions and other attorney/client meetings.
- Make travel arrangements, answer telephone, read and route incoming mail, maintain calendars and contact lists, schedule appointments and manage attorneys’ calendars, reserve conference rooms, maintain filing and process new business intake and expense forms.
- Enter, review, and edit attorneys' time entries in time entry system (Intapp) and on proforma bills.
- Organizes and maintains client files and form files.
- Provides dependable, flexible support.
- Demonstrates teamwork by providing secretarial and administrative support to others as requested by the Human Resources Manager whenever workload permits; contributes to the assimilation of new legal and support staff.
- Perform additional duties and special projects as assigned.
Requirements:
- A minimum of (3) years of law firm experience required, supporting a minimum of three attorneys.
- Knowledge of appellate, federal, and state court systems, including appellate and federal e-filing and state court online filing systems required.
- Software knowledge must include MS Office suite, Net Docs or other document management systems, and Intapp or other time entry systems.
- Candidate must possess interpersonal communication skills necessary to maintain effective relationships with partners, attorneys, clients, and staff in person, by email and telephone. Ability to provide a high level of customer service and be able to clearly and effectively communicate both verbally and in writing.
- Candidate must possess strong organizational and attention to detail skills, ability to balance multiple projects and have strong time management skills.
- Proficiency in grammar, proofreading, and transcription.
- Ability to utilize firm resources to assure that all work is completed in a timely manner.
- Ability to provide a high level of customer service and be able to clearly and effectively communicate both verbally and in writing.
- Ability to work overtime when needed.
- This position is in-office.
